Ensuring a consistent brand experience across all customer interactions fosters trust and builds long-term recognition. From your website and social media to customer support, every interaction should reflect the same professionalism, tone, and visual identity. Chatbots are no exception— users expect the same cohesive brand experience regardless of the interaction channel.

In this article, we’ll explore how Landbot’s design features empower you to create a white label chatbot that not only performs efficiently but also strengthens your brand identity with every interaction.

Showcase: Exploring a Brand-Consistent White Label Chatbot

Let’s walk you through an example of a chatbot design in action and break down the key best practices step-by-step. We’ll cover practical steps for building a cohesive bot—from establishing a brand-consistent color palette and enhancing readability to creating a tone of voice that resonates with your users.

You’ll also find tips for adding visual elements like avatars and multimedia, which add personality to your white label chatbot and make interactions more engaging. Throughout, we’ll guide you in leveraging Landbot’s tools to bring your unique brand identity to life.

Start with Visual Cohesion: Color Palette and Background

The visual design of your chatbot is the first impression users will have. Selecting the right color palette and background is key to creating a cohesive look that reflects your brand identity and reinforces familiarity and trust.

A well-thought-out color palette should reflect your brand's colors while ensuring accessibility. Contrast is critical: choose colors that not only represent your brand but also enhance readability and visual comfort. For instance, avoid low-contrast combinations (e.g., light text on a light background) and ensure that buttons, text, and background elements stand out appropriately. Your goal is to create a visual flow that feels inviting, functional, and on-brand.

In addition, consider how your background complements your palette—neutral or brand-related tones often work best, allowing key elements to stand out. Patterns or gradients can add depth but should be used sparingly to avoid clutter and maintain focus on the conversation.

Let’s put this into practice in Landbot!

Access the Design Section

To get started, simply click the Design button on the top menu of your builder. Here's where you can bring your bot on-brand!

As you will see, there’s a first section dedicated to ‘Design templates’. There, you can choose from different predefined proposals in terms of colors, fonts, styles and patterns. It’s a quick and easy alternative, but we recommend personalizing it and adapt it to your own brand style to keep all your touch-points consistent.

Choose Your Colors

Pick colors and fonts that match your brand identity. The right colors can enhance your white label bot's appeal and create a cohesive user experience.

Where can you change and select the colors? Depends on the part of the bot you want to modify. For the background and the main font, you need to go to ‘General’ settings. There, you can choose the font family, the size and, when it comes to the background, you can have a solid or gradient color, an image, a video or even hide the background.

Below, under the ‘Layout’ section, you can adapt the header settings by adding a logo text, changing the logo image and the tagline. Also, you have the option to match the color of the top bar background and its text to your brand guidelines.

Another interesting feature of the design section is that you can use your brand’s isotype for the bubble icon, as you can see in the image above for Landbot’s case.

Finally, in the ‘Chat’ section, you can modify the style of the message bubbles and their color, as well as the buttons, using your corporate colors, shapes and borders. Everything can be fine tuned to turn your white label chatbot into an extension of your or your client’s brand so both customers and prospects feel comfortable at all times.

Focus on Readability and Tone of Voice

Design is more than just colors and fonts—it’s about creating an experience. The bot’s tone of voice, primarily crafted within the flow itself, shapes how users perceive your brand. Whether formal or casual, ensure that language and phrasing consistently reflect your brand’s personality. Chatbot design elements like icons can visually reinforce the tone of voice, supporting a cohesive and engaging experience across all interactions.

Ensuring that the text is easy to read is equally important. Opt for clean, legible fonts and keep the text concise, avoiding overload with unnecessary information.

Humanize Your White Label Chatbot

A chatbot doesn’t have to feel robotic. By incorporating some human-like qualities, you can help your customers feel more comfortable during their interactions, which in turn improves their overall experience.

One way to achieve this is by giving your bot a unique identity or avatar that aligns with your brand. It could be something as simple as your company’s logo or a more imaginative character that embodies your values and style. The trick is to make sure that each conversation feels organic and engaging.

Add a Branded Avatar or Visuals

Upload an avatar or visuals that represent your brand under the ‘Chat’ section. These elements not only enhance your bot’s personality but also foster recognition and trust among users.

In our Knowledge Center, you will find more information about how to customize the avatar by changing its position on the page, its height and width, or even by adding a tooltip so people know what to expect when they click on it.

It’s important to note that Landbot offers additional options for designing your white label bot beyond the settings we’ve reviewed. If starting from scratch feels challenging, our templates provide multiple ideas and examples that you can adapt. You can also use a template’s design and then edit it to match your brand standards.

For advanced users, we recommend adjusting the bot using the Custom Code feature, since it allows you to fully customize your bot with CSS and JavaScript. You can find more information in more articles from our Knowledge Center.

Conduct User Testing

When completing your chatbot design phase, user testing becomes essential to ensure that what we build truly meets the needs of those interacting with it. Gathering real feedback on how users interact with your white label chatbot can uncover pain points and areas that need improvement. Whether users find certain responses unclear or struggle with navigation, these insights will help shape a more intuitive experience.

The process doesn’t stop there—continuous, iterative testing is key. As you tweak the design and behavior based on feedback, test again to see how those changes resonate with users. This cycle of refinement ensures that your white label chatbot becomes more engaging, responsive, and user-friendly with each iteration.

In the end, well-executed user testing helps bridge the gap between what your team envisions and what users actually need.

Ensure Adaptability and Scalability

A well-designed white label chatbot must evolve alongside your or your client’s brand’s growth and shifts in strategy. Our platform makes this process seamless, enabling easy updates and integrations as your needs change. Whether you're adjusting the chatbot's tone, expanding functionality, or updating responses to reflect a new direction, our platform gives you the flexibility to implement these changes smoothly.

Don’t forget—after making changes, it's crucial to publish them to see those updates reflected. While the link to your chatbot remains the same, clicking "Publish" ensures that your latest modifications are live and accessible to users.

Additionally, as your user base grows, scalability becomes increasingly important. Our platform is designed to help support your chatbot's growth, making it easier to maintain a consistent user experience as your brand evolves.

Leverage Multimedia Elements

Incorporating multimedia elements—such as images, videos, or GIFs—can elevate your chatbot interactions, making them more dynamic and engaging. These visuals don’t just grab attention; they help convey your brand’s personality and values in a way that text alone might not achieve. By integrating rich media, you can provide users with a more immersive and memorable experience, enhancing how they perceive and interact with your brand.

Landbot makes it easy to add multimedia to your white label chatbot flows, allowing you to seamlessly integrate images, videos, and GIFs to enrich user interactions. Whether you’re showcasing a product video, highlighting key information with an image, or adding a bit of fun with a GIF, these elements can significantly improve user engagement.
